NOTE: If the computer you use moves networks on a regular basis (as with a laptop), it is normal for email service to be unavailable. This is because settings for email are not consistent between different networks. Some networks will block certain ports, interfering with your email delivery.
When there is an issue for sending mail, 95% of the time it is one of the following:
- Your internet service is down. Check to see if you can get to google.com, yahoo.com, or cnn.com. If you can't, you should call your ISP for assistance.
- The user name and/or password are incorrect
- Your ISP is blocking port 25 for your outbound email. Use port 2500 or 2525 instead.
- Your SMTP authentication is not enabled or not working. Find the setting in your software and turn it on
- Your email account settings are corrupt (not usual, but it happens). Delete the account and recreate it.
- An anti-virus program is interfering with the mail service. Disable your anti-virus software and try again.
Most of the problems can be fixed by looking at one of the following solutions.
Check Webmail
Go to http://webmail.yourdomain.com (substitute yourdomain.com with your domain name). Your user name is the first part of your email address. For example, if your email address is jack@yourdomain.com, then your user name would be jack. If you can login successfully, then the mail servers are operating properly and your user name and password are correct and there appears to be configuration issue on your computer.
Disable Anti-Virus
One of Microsoft's suggestions is to disable your Anti-Virus software from checking sent mail.
Change Port Settings
Change your outgoing mail port from 25 to either 2500 or 2525. Many networks now block the standard port 25 for outgoing mail. We have added alternate ports for travelers and other users who run into this issue.
Make sure SMTP Authentication is Enabled
Depending upon your email software, you will want to get to your outbound server settings and make sure that Outgoing Server Authentication is turned on.
Close your email software then restart it to see if this corrected the problem.
More Suggestions/Questions
If all else fails, you might try the following:
- Go to http://www.getthunderbird.com and download the Thunderbird email client and set up your email through it. If you can send and receive email using Thunderbird, then the issue lies with your email software.
- Is the problem only on your machine or are other machines having email difficulties? If it's only on a single machine, then it is a setting or connectivity problem on that local machine.
- Reboot your machine.
- Another option is to write down all your settings, remove your email account. Shut down your email client then set up your email again as if it were a new account.
